Automated Reporting:

Process:

  • All accounts should be fully reconciled and matching
  • Reconciliation status updates shared in channel
  • Bank statements need to be uploaded for official close-out
  • Reconciliation should be kept up to date regularly

Key Points:

  • All accounts should be balanced
  • Pending items (e.g., bank statements) should be tracked
  • Reconciliation is critical for accurate financial reporting

Transfer Rules:

  • Transfers between accounts should be documented
  • Large transfers (e.g., $25K, $50K) may be needed to cover payments
  • Transfer needs should be communicated in advance
  • Interest transfers from checking to interest account should be made regularly

Payment Coverage:

  • Monitor account balances to ensure sufficient funds for upcoming payments
  • Transfer funds when needed to cover payments and maintain buffer
  • Track expected payments (e.g., customer invoices) to plan transfers

Revenue Categories:

  • Subscriptions: Recurring subscription revenue
    • Subcategories: subscription - real estate, subscription - lender
  • Transactions: Transaction-based revenue
  • Services: Service fees and consulting revenue

Revenue Recognition:

  • Annual subscriptions go to deferred revenue
  • Revenue split on monthly basis to recognize over time
  • Required by ASC 606 accounting standards
  • Journal entries move revenue to correct subcategories at month-end

Revenue Assignment:

  • Revenue assigned to correct subcategory (e.g., subscription - real estate or subscription - lender)
  • Subcategories ladder up to subscriptions or transactions
  • Process ensures proper categorization for reporting

Customer Changes:

  • When customers churn: Void outstanding invoices
  • Update metrics after customer changes
  • Track customer lifecycle and revenue impact

Invoice Management:

  • Track outstanding invoices
  • Monitor payment status
  • Update financial metrics when invoices are voided or paid

Budget Scenarios:

  • Low scenario: Includes only revenue for signed agreements
  • High scenario: Includes projected revenue (e.g., NYCA, HPD revenue)
  • Both scenarios should be prepared for planning

Key Metrics:

Projection Considerations:

  • Include known revenue (signed agreements)
  • Include projected revenue (pending contracts)
  • Factor in planned hiring
  • Consider expense increases (10%, 20% scenarios)
  • Account for one-time expenses (e.g., R&D tax study, legal fees)

Outstanding Questions (example from 2026 budget):

  • Hiring plan details (e.g., NYCA hiring needs)
  • Time estimates for contractor hours
  • Upcoming needs not yet accounted for
  • Revenue projections for pending contracts

Budget Approval:

  • Budgets should be reviewed by stakeholders
  • Feedback should be incorporated
  • Questions should be addressed before finalization

Q3 2025 Example:

  • Revenue: $428K earned
  • Expenses: $555K spent
  • Net Income: -$153K
  • Runway: 16 months
  • 3-month average net burn: $68,532 (accrual-basis)

Revenue Breakdown:

  • Subscription revenue: +17% YoY

Expense Breakdown:

  • G&A: Legal fees (+238%), Accounting fees (+248%)

Burn Rate:

  • Track monthly gross burn
  • Track net burn (accrual-basis)
  • Monitor changes quarter-over-quarter and year-over-year

Profitability:

  • Track break-even point
  • Project profitability timeline
  • Monitor monthly profit/loss
  • Consider expense increase scenarios (10%, 20%)

Runway:

  • Calculate based on current cash and burn rate
  • Update regularly as conditions change
  • Factor in projected revenue and expenses

Causal:

  • Used for budget scenarios and projections
  • Operating dashboard shows revenue, expenses, and net income
  • Allows drilling down into details
  • Access should be granted to relevant stakeholders

QuickBooks:

  • Primary accounting system
  • Tracks all accounts and transactions
  • Generates financial reports
  • Used for reconciliation

Card Configuration:

  • 2FA Required: 2FA must be enabled for ALL platforms
  • Vendor Lock: Cards should be locked to specific vendors where possible
  • Card Limits: Monitor monthly limits to avoid payment failures
  • Card Types: Virtual vs physical cards - vendor lock important for shared cards

Payment Issues:

  • When payment fails: Remove card and re-add (no retry button in some systems)
  • One-time payments can cause monthly limit issues
  • Need to coordinate large one-time payments with regular monthly payments

Card Usage:

  • Claude Pro card: Should be locked to Anthropic
  • Shared cards: For team subscriptions (e.g., Anthropic Pro subscriptions)
  • API cards: For API usage (e.g., Anthropic API for document parser)
  • Note: Don’t use API card for Claude Code if already paying for Team account ($150/month)

Project Tracking:

  • Tag costs related to specific programs (e.g., NYSERDA Data program)
  • Run P&L reports by tag
  • Track program revenue and expenses separately
  • Research needed for tagging program revenue

Salesforce:

  • Used for customer relationship management
  • Pricing per seat should be tracked
  • Seat assignments should be managed (Service vs Sales seats)

Customer Lifecycle:

  • Track customer acquisition
  • Monitor customer churn
  • Update metrics when customers change status
  • Void invoices for churned customers

Transaction Revenue:

  • May come from partnerships (e.g., CPC transaction fees)
  • Can be unpredictable timing
  • Should be tracked separately from subscription revenue
  • May need coordination with partners to understand expected amounts

Contract Revenue:

Sales Tax Registration:

  • Companies may need to register even if paying sales tax
  • Verify registration status
  • Coordinate with state tax authorities as needed

R&D Tax Credit:

  • Small businesses with less than $5M revenue can use credit to reduce payroll taxes
  • R&D tax study costs should be tracked
  • Accounting fees may cover R&D tax study

Profitability and Taxes:

  • When profitable: Tax rates apply (e.g., 21% Federal, ~13% NY/NYC combined = ~34% total)
  • Tax projections should be done when approaching profitability
  • Formal tax projections may be needed closer to profitability

Financial Close-Out:
