How Our Systems Are Set Up

The purpose of this note is to provide basic info to folks who may need to know how and where our domains, Google Workspace, and various other office systems are set up.

We own the following domains. The registrar is Cloudflare:

• c15.io
  Primary domain. Used for our emails and “marketing” website, and will be used for the application. Emails sent to this domain are NOT logged in our CRM.

• cadence15.com
  Secondary domain. Also used for emails, but logged (e.g. for consultants whose emails ought to be logged to CRM, like legal). This is where our handbook is hosted (access proxied by Cloudflare)

• cadenceonefive.com
  Unused.

Workspace and Emails

We use Google Workspace. Workspace admin accounts are Bomee and Super User.

People Emails

1. Naming convention for primary is first_name@c15.io

2. Alternate email is first initial plus last name (gwashington@c15.io)

3. Secondary email is personal email

• Employees get c15.io Workspace accounts.

• Contractors get c15.io emails on request. These can be:

• Workspace accounts, which will give access to shared drives, calendars, etc. automatically. Also allows you to login to any services that use Google OAuth.

• Email aliases that forward to an external email. You might want this if you want to use c15.io for registrations with email+password

Not-people Emails

2. ceo@ goes to both Bomee and Marc, and is logged. Open to external emails.

3. sales@ is currently a group of 1 (Marc)

4. invoices@ goes to the Airbase bills inbox and to the #inbox-finops chat channel. This is the billing email that should be used for all contracts, so that our bookkeeper can reconcile invoices to payments.

9. hello@c15.io is a published email address. Its aliases are legal@ (published on Terms page) and eula@ (legacy). It delivers mail to the Hello inbox in Hubspot. The Hello inbox is also connected to the Hubspot chat form used on Momentum.

10. jobs@ sends emails to the Hiring inbox in Hubspot. The Hiring inbox is also connected to job interest forms on Hubspot.

11. admin@c15.io –> #inbox-admin. This address is used for account registrations. Admins for stuff like AWS have access to the channel.

12. bills@ Goes to #inbox-finops. This email should be used as the billing contact for all subscriptions.

13. no-reply@c15.io and noreply@ are deleted (no routing needed).

Apps and Services

This section lists mainly the centrally managed and paid services. In general, if you are using a tool, free or otherwise, for work, it should be listed in the census spreadsheet. Any tool or website where company IP lives should be paid for by Cadence OneFive, even if it is an individual (vs team) account.

Systems

1. Cloudflare - Domain registrations, DNS, Proxy. Primary account holder is admin@. Meghan is admin. No one else has access.

2. DMARC Report - DMARC analyzer. Account is admin@.

3. AWS - The Cloud. We don’t currently have an account, but we have a discount code from our bank. Pls use the discount code when setting up.

FinOps

1. Airbase - Expenses, bill payment. Primary account holder is Bomee. Marc and Mindy have admin access. All employees get access for expense reimbursement requests.

2. Justworks - PEO, including contractor payments. Marc and Mindy have admin access. All employees, contractors, and vendors get access.

3. Quickbooks Online - accounting. Primary account holder is Bomee/Marc using a single login. Mindy has accountant’s access. No one else has access.

Other Tools

Accessible to Everyone

1. Chat Platform (Discord) - Bomee is the primary admin.

2. Rewatch - Bomee has the primary account. Meghan is admin.

3. Clockify - We have a free Org on Clockify, for folks who want or need to track time. Bomee is admin and will invite you to the Cadence OneFive organization if needed.

Accessible to Employees

1. Zoom - we pay for licensed seats for employees.

2. Dashlane - we have a paid Dashlane group. Marc is admin.

3. Hubspot - Bomee is admin. All external emails should be logged. Emails to jobs@ go into the Hubspot Inbox, and should be responded to there (creates ticket).

4. Grasshopper - Virtual BPX. Bomee is admin.
